Post-show follow-up
The 14 days after a trade show are the highest-ROI period for converting leads. Most factories ignore this. Don't.
Why the 14-day window matters
After a trade show, the buyer's memory fades fast:
- Within 24 hours: 80% recall of who you talked to at the show
- Within 1 week: 50% recall
- Within 2 weeks: 25% recall
- After 2 weeks: leads you didn't follow up within 14 days are effectively cold
If you don't follow up inside 14 days, you're resetting the relationship from scratch - and most buyers won't restart.
The follow-up sequence
Day 1-2: thank-you emails
Send an email to every qualified buyer you met. Within 48 hours of the show ending.
Email structure:
- Subject line that names the buyer: "Following up from [show] - [buyer name]"
- One sentence recalling your conversation specifically (not "great meeting you" - what did you actually discuss?)
- One concrete next step (sample ship / quote / call)
- Your contact info
Example:
Hi Sarah,
Following up from our conversation at ASD last week about [her specific category - "B-grade kitchen storage for off-price"]. You mentioned interest in SKUs with [specific feature - "vacuum packaging to reduce shipping damage"].
Next step: I'll send 3 sample SKUs (X, Y, Z) to your office [address] tomorrow. FOB pricing per attached.
Best,
[Your name]

Day 3-7: sample shipments
For qualified leads (buyers with active sourcing needs in your category), ship 1-3 sample SKUs within the first week. Not after - within.
This is a procurement activity, not a marketing activity. Pay for courier shipping (DHL/FedEx). Send the sample that matches what the buyer specifically asked about.
Day 7-14: follow-up calls
Call buyers who haven't responded to your email. Don't email again (email-followup-on-followup is mostly ignored). Phone or WhatsApp call has higher open rates than email at this stage.
Call script:
"Hi Sarah, [your name] from [factory]. Following up on the ASD conversation. Did the samples I shipped on Tuesday arrive? Is the Tuesday 2pm next week still good for a call to discuss volume pricing?"
Keep it short. If they're not ready, ask when they will be.
Day 14+: cold lead sorting
After 14 days, sort leads into:
- Hot: engaged in active conversation, ready to quote - keep chasing
- Warm: interested but slow - drop a quarterly note about new products and check in
- Cold: no response to email + call - drop them, retry in 6 months
Sample follow-up email (cold status update)
For warm leads where the buyer has gone quiet, send a quarterly update:
Hi Sarah,
Following up. Here's what's changed since we last spoke:
- New SKU X (covers a problem you mentioned)
- Updated pricing on Y (5-7% reduction)
- Compliance docs now on file for [category Z]
If the timing is right, let's talk 15 minutes. If not, totally understand.

Sample ship semantics
When you ship sample after a show:
- Label as "samples for buyer review - not for resale"
- Include a 1-page sheet with the sample: SKU, dimensions, weight, your cost, suggested retail
- Don't include unsolicited marketing materials - it's a sample ship, not a follow-up bomb
- Send tracking within 4 hours of shipping
Tracking follow-up ROI
Track these numbers for every show:
- How many buyers did you meet?
- How many thank-you emails sent within 48 hours?
- How many samples shipped within 1 week?
- How many follow-up calls made within 14 days?
- How many of those converted to first PO?
- Time from show to first PO?
- Total order value from show leads in 6 months?
If your conversion rate from show-lead to first PO is <5%, you have a follow-up problem (likely the 14-day window).
What most factories get wrong
The most common post-show mistakes:
- Saying "we'll be in touch" at the booth and never being in touch
- Sending a single generic email ("thanks for visiting our booth") with no specifics
- Shipping samples to the wrong address (always verify the buyer's address)
- Following up once and giving up (most sales need 5-12 follow-up touchpoints)
- Conflating the buyer's interest with the buyer's project timeline (interest can be real even if the project is 3 months away)
